Tips for organizing Your Recruitment Event

Education and Recruitment Planning Group

The planning group you organize will coordinate the recruitment effort with your local donor center or recruitment group. Plans must be made for:
  • Funding and fundraising (if required)
  • Publicity
  • Logistical planning
  • Volunteer donor education
  • Recruitment
The ideal planning group assigns specific tasks and responsibilities to individuals. One chairperson or two co-chairs will oversee and coordinate the group’s activities. Regular meetings will keep everyone updated. Individual group members can be responsible for one general area.

Responsibilities usually fall into the following groups:
  • Fundraising
  • Financial planning
  • Medial coordination and publicity
  • Education and volunteer donor recruitment
  • The testing session
Who should be in your groups?

People of every skill and capability. Consider collaborating with other student groups, local college or campus, school staff, area sports leagues, service fraternities and sororities, a local foundation, or local religious groups. When forming the group, remember its functions and think about who may be willing to help. Let it reflect your community and let it work.

Choose the chair and subgroups based on who has experience in a particular area, who knows someone with experience, or who is simply interested. The opportunities in each group are unique.

Finally, remember that communication will be very important as the recruitment project becomes more active. The group needs to meet and/or communicate regularly so that all members and the donor center or recruitment group staff stay informed. Also, make sure the chairs ahs enough time for meetings and phone calls that will be needed.

Responsibilities Within The Planning Groups

Chair(s):
  • Brings individuals together, delegates tasks to subcommittees, determines timetables, reviews the group’s progress, and brings project to completion.
  • Functions as the link between the NMDP Donor Center staff and the group.
Fundraising Chair:
  • Develops and builds the team that raises funds for the volunteer donor testing session (if required.)
Financial Accounting Chair:
  • Keep track of the group’s financial account and the cost of testing sessions to date (if required)
  • Ensures funds for testing are deposited at the NMDP or the local donor center or recruitment group in advance of the testing session. If the lab bills the NMDP directly, funds must be on deposit in your designated account with the NMDP one week prior to the start of the drive.
Education and Donor Recruitment Chair:
  • Selects and helps train a group of volunteer donor recruiters who will make presentations about the need for an recruitment of volunteer donors
  • Arranges and schedules opportunities for presentations and one-on-one recruitment at local organizations. This would be provided to the chair prior to the presentation by the local donor center or recruitment group staff.
Media Coordination and Promotion Chair:
  • Develops, coordinate and maintains personal contact with the donor center or recruitment group coordinator and the NMDP national contact (Christina Nguyen).
  • Works with donor center or recruitment group public relations staffs to develop the promotional effort that informs the public about the need for volunteer marrow donors, financial contributions (if required, and the upcoming testing session(s).
  • Ensures that the NMDP national contact (Christina Nguyen) is informed of potential or recently received media coverage. Christina and the NMDP Marketing and Communication will assist the chairperson in some of these tasks.
Testing Session Chair:
  • Works with the donor center or recruitment group staff to select a suitable date (April), place and time for the testing session(s).
  • Assures that the site is set up before the testing session and cleaned up at its conclusion.
  • Confirms lab and phlebotomy arrangements with the donor center or recruitment group.
  • Recruits and schedules volunteers to work at the testing session. Draws up a schedule of volunteers to fill each position.
  • Arranges the training of volunteers who assist at testing session.
